Why it exists

Screening center operations leak in three places

The work lives in people's heads

Work runs on verbal instructions and personal memory. When a person leaves, it leaves with them.

Open slots disappear in silence

There is no waitlist to fill a late cancellation, and every reminder call is manual.

Operations never arrive as a summary

With no regular reporting, the director only learns how things are going by asking.

We measured the size of the leak

We analyzed all 21,329 bookings from 12 months at a center doing about 20,000 exams a year. One in ten was lost to cancellation or no-show.

OINO answerEach file type sends at a different time

Nothing goes out the moment the booking list is applied. The 7-days-before, 3-days-before-colonoscopy and day-before-colonoscopy notices send automatically at 8 a.m. the next day. The remaining prep notices go out one by one after the confirmation call in Log Entry. The first satisfaction survey from the check-in list still needs a final send after you review the list and the message.

When staff get stuck, they ask inside OINO first

It gives the next step based on the current screen and the person's role. Fewer repeat questions land on the director or an outside contact.

Each file type sends at a different time

Nothing goes out the moment the booking list is applied. The 7-days-before, 3-days-before-colonoscopy and day-before-colonoscopy notices send automatically at 8 a.m. the next day. The remaining prep notices go out one by one after the confirmation call in Log Entry. The first satisfaction survey from the check-in list still needs a final send after you review the list and the message.

  1. Check the next automatic send list on the Auto Notices screen, based on the 5 p.m. booking list from the day before.
  2. Send the remaining prep notices one at a time from Log Entry, using Send notice after the confirmation call.
  3. Booking confirmations go out automatically for new confirmed bookings only, by comparing the full 5 p.m. booking list with the previous one.
  4. For the check-in list, press "Apply check-in list and preview today's first notice", then review the recipients and the message.
  5. Review the recipients, the exclusion reasons and the full message as the patient will see it.
  6. You must press "Send to N recipients" → tick the confirmation → "Send".
  7. When "Sent N" appears at the end, OINO has accepted the send.

From the cancellation to the refilled slot, the AI manager carries it through

The AI manager matches candidates and writes the log. A staff member confirms the final change with one click.

Sample screen summarizing how the product behaves. Names and dialogue are synthetic.

What the AI operations manager does

An operations manager, without hiring one

In a clinic, when one staff member quits, the seat rarely gets filled within a month or two. Here is what changes with an AI operations manager.

All Tasks

The AI manager picks today's calls, reassignments and callbacks out of the screening data and puts them in priority order.

Staff work the list top to bottom. That's it.

Ops Brief

Only items that need a decision, plus verified facts like capacity, prep notices and cancellations.

The director reads this one screen and goes back to patients.

Cancellation → reassignment

When a cancellation comes in, it immediately finds a matching waitlist candidate and proposes them.

A slot that would have sat empty gets filled again.

Patient contact details live only in the waitlist. They never appear on the board or in the brief.

AI responses are tested in a simulator first, and nothing is sent without a human confirming it.

AI reminder calls and seasonal outreach

Coming soon

The AI agent makes the reminder calls itself and handles seasonal outreach, such as re-engaging patients who haven't come back.

It does not answer medical questions. It hands those to a staff member right away.

FAQ

How is this different from hiring a manager?
Hiring takes months, and when a person leaves, the work leaves with them. The AI operations manager keeps the call, reassignment and reporting routines in the system, so operations continue when people change.
Is this a no-show tool?
No-shows are one part. It covers the whole operating day: All Tasks, the Ops Brief and reassignment.
Do we have to change our EMR?
No. Your EMR stays, and OINO sits next to it. Upload your booking spreadsheet and you've started.
